This policy covers how we handle personal information generally, including through this website. The formal Privacy and Confidentiality Policy we issue under RTO 52959 is on our policies page.

What We Collect

We only collect information we actually need to enrol you, train you, assess you and meet our obligations as an RTO. That usually includes:

  • Your name, date of birth, address, phone number and email address
  • Your Unique Student Identifier (USI)
  • Evidence of identity, including your driver licence
  • Your employment details, and your employer where they are booking or paying
  • Language, literacy and numeracy information, where it affects how we deliver the training
  • Medical, disability or support needs you choose to tell us about, where they affect your safety on site or the support we need to provide
  • Your training and assessment records, results and Statements of Attainment
  • Payment and invoicing details
  • Photographs or video taken during training, where you have agreed to it

Why We Collect It

To enrol you and deliver the training, to assess you and issue nationally recognised certification, to meet our obligations as a registered training organisation and under Western Australian licensing arrangements, to invoice you or your employer, and to contact you about your booking.

Who We Give It To

We disclose your personal information only where we are required to, or where you would expect us to. That includes:

  • The Australian Skills Quality Authority and other regulators, for audit and compliance
  • The National Centre for Vocational Education Research, as part of national VET data reporting
  • The Student Identifiers Registrar, to verify your USI
  • The Department of Training and Workforce Development, where state funding applies
  • The Department of Transport, where the training leads to a licence
  • WorkSafe Western Australia, where the training leads to a high risk work licence
  • The Construction Training Fund, where you or your employer claim a rebate
  • Your employer, where they have booked or paid for your training
  • Our software and IT providers, who host our student records under contract

We do not sell your personal information and we do not give it to anyone for marketing. Some of our software providers store data on servers outside Australia. Where that happens we take reasonable steps to make sure your information is handled consistently with the Australian Privacy Principles.

Your Unique Student Identifier

Under the Student Identifiers Act 2014 (Cth) we cannot issue you a Statement of Attainment without a valid USI. We collect and verify it for that purpose, and we are required to include it in national VET reporting.

National VET Data Reporting

We are required by law to report student and training activity data to the National Centre for Vocational Education Research. That data is used for statistical, research, planning and reporting purposes, and it may be used to contact you about your training experience through student surveys. You can read how NCVER handles it in the NCVER Privacy Policy at ncver.edu.au.

How We Store It

Student records are kept in our student management system with access limited to the staff who need it. Paper records are kept secure at our training centres. We are required to retain assessment records and certification data for set periods, and we destroy or de-identify information once we no longer need it and are no longer required to keep it.

You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong. Email contact@operatewa.com.au and we will respond within 30 days. There is no charge for asking, and no charge for a correction.
